Business account in Belgium: which one your accountant likes

Revolut Business, Qonto, Wise or a Belgian bank: which fits Belgian bookkeeping? CODA files, the Ponto connector and Peppol e-invoicing explained.

By Sophie L.12 août 20267 min

A self-employed expat in Liège who opens a Revolut Business account at 10 € a month to save on banking fees can end up with 300 € of extra accounting fees over the year. The account is cheaper, but it does not speak the language of Belgian bookkeeping. Here is how to choose between Revolut Business, Qonto, Wise Business and a classic Belgian bank when you work with an accounting firm.

Why does your business account change your accountant's bill?

Because half of an accounting firm's work is getting your bank movements into its software. If the account delivers a directly readable file, that takes minutes. If not, someone re-keys, checks and reconciles by hand.

Expect 50 to 90 € per hour excluding VAT at a Belgian accounting firm, depending on the region and the size of the practice. Two extra hours of data entry per quarter, which 80 to 120 movements will reach quickly, comes to 400-720 € a year. Against that, the subscription gap between a Belgian business account at 15 € a month and a Revolut Business Basic at 10 € a month is 60 € a year.

In practice, the reasoning flips. The right criterion is not the sticker price of the account, it is the number of hours your accountant will spend on it. Someone who does their own bookkeeping on Dexxter or Accountable faces a different equation from a company director who delegates everything: in the first case it is your time, in the second it is your invoice.

What is a CODA file, and why does your neobank not produce one?

CODA, short for Coded Statement of Account, is the coded bank statement format standardised by Febelfin, the Belgian financial sector federation. Every line is typed: SEPA transfer, direct debit, fee, card transaction. Belgian accounting software reads that file and allocates the movements with almost no intervention.

Belgian banks have supplied it for years: KBC, Belfius, BNP Paribas Fortis, ING, Argenta and Crelan all offer a CODA feed to accounting firms. It is a local standard, not a European norm, which is exactly why foreign players ignore it.

Revolut Business, Qonto, Wise Business and bunq export PDF, CSV and offer API access. None generates CODA. Technically nothing is blocked: the CSV can be converted, the API can be plugged in. But every conversion is one more manipulation, and one more manipulation is one more line on your fee note.

Revolut Business, Qonto, Wise or bunq: which one talks to your accounting software?

None speaks Belgian natively, but they compensate differently. Qonto has built integrated pre-accounting (receipt collection, reconciliation, a dedicated accountant login) where Revolut Business relies on third-party integrations such as Xero or Sage.

bunqfrom 3.99 €/monthNo (CSV, PDF, API)Dutch (NL)Licensed bank (Netherlands)

Watch the detail: the IBAN and CODA are two separate questions. Revolut Business gives you a Belgian IBAN, which smooths direct debits, but still produces no CODA. Qonto does the opposite, with better accounting integration and a French IBAN that jams on certain Belgian forms.

What if my accountant works on Yuki or Octopus?

Yuki is primarily an accounting-firm platform and is widespread in Belgium. If your firm runs on it, it expects a clean incoming feed, ideally CODA or an established bank connection. Billit, a Belgian invoicing platform, integrates with Yuki on both sales and purchases. Octopus and Winbooks, more traditional, also feed on CODA.

The question to ask your accountant fits in one sentence: which banks do you already have a connection with? A firm with an automated CODA feed from ING has no appetite for hand-processing your Revolut CSV every quarter.

Can Ponto replace a CODA file?

Partly. Ponto, built by Isabel Group and licensed as a payment services provider by the National Bank of Belgium, is a PSD2 connector: it plugs your accounts into your software through APIs, with automatic statement imports and daily synchronisation of movements. It interfaces with Teamleader, Sage BOB, Odoo and any tool that can import bank statements.

What this means for you: if your account issues no CODA, a PSD2 connector restores the automation, but it adds to the budget and assumes your accounting software supports it. Check that before opening the account, not after.

Does mandatory Peppol invoicing since January 2026 change the calculation?

Yes, and it shifts the question from the bank to the invoicing tool. Since 1 January 2026, every VAT-registered business established in Belgium must issue and receive structured electronic invoices for its B2B transactions. The framework comes from the Act of 6 February 2024, detailed by the Royal Decree of 8 July 2025.

The expected format is structured under the EN 16931 standard, in Peppol BIS, and sent over the Peppol network. A PDF emailed to a client no longer counts as an electronic invoice, and paper invoices are no longer accepted in Belgian B2B. Exceptions cover bankrupt businesses, those under the flat-rate scheme, and those carrying out only exempt transactions under Article 44 of the VAT Code.

The practical consequence for your account choice: the built-in invoicing in Qonto or Revolut Business does not make you compliant if it does not issue through Peppol. A self-employed person in Belgium will most likely keep a Belgian tool (Billit, Accountable, Dexxter or whatever the firm uses) for invoices, whatever account collects the money.

How much time does a connected account really save?

The gain is measured in avoided manipulations, not in clicks. A CODA feed or a PSD2 connection removes three recurring steps: downloading the statement, converting it, loading it into the software. For someone with 100 movements a quarter, that is the difference between a twenty-minute reconciliation and an afternoon of re-keying.

There is a downside few comparisons mention. Wise and Qonto are payment institutions, not banks: funds are safeguarded but not covered by the 100,000 € deposit guarantee. Revolut Business runs on Revolut Bank UAB, licensed in Lithuania, and bunq on a Dutch banking licence. For cash that sits still, a Belgian account remains the cautious option, regardless of any accounting question.

What to check before you open the account

Five points settle it, in this order. First, the export format: CODA, API, or CSV only. Then the IBAN: Belgian or foreign, bearing in mind that some Belgian direct debits and forms remain fussy about a non-BE IBAN.

Then accountant access, meaning the ability to give your firm read-only access without handing over your credentials. Then compatibility with your Peppol invoicing tool, now an obligation rather than a nicety. Finally the status of the provider, licensed bank or payment institution, which determines whether your deposits are guaranteed.

One last detail that matters: switching business accounts mid-year complicates the year-end close. If you are hesitating, decide before 1 January rather than in April.

FAQ

The most common questions from self-employed people in Belgium about business accounts and bookkeeping are covered above: what a CODA file is, the absence of CODA at Revolut Business, Qonto's IBAN in 2026, the role of the Ponto connector, the Peppol obligation since January 2026, whether a Belgian account is needed for VAT and social contributions, and the possible accounting fee surcharge.

Frequently asked questions

CODA (Coded Statement of Account) is the coded bank statement format standardised by Febelfin, the Belgian financial sector federation. Every line is structured and typed, so Belgian accounting software can import and reconcile movements automatically, with no re-keying.

No. Revolut Business exports PDF and CSV statements plus API access, but no CODA. Your accountant will either use a PSD2 connector, convert the CSV, or enter movements manually. Ask which one they use before you open the account.

No. Qonto offers local French, German, Italian and Spanish IBANs, none starting with BE. The account works in Belgium and stays inside SEPA, but some Belgian direct debits and forms still expect a Belgian account.

Ponto, built by Isabel Group and licensed as a payment services provider by the National Bank of Belgium, connects your bank accounts to your business software through PSD2 APIs. It handles automatic statement imports and daily synchronisation of movements, including into tools such as Teamleader, Sage BOB or Odoo.

Yes, since 1 January 2026, for any VAT-registered business established in Belgium invoicing another Belgian business. The invoice must be structured under the EN 16931 standard, in Peppol BIS format, and sent over the Peppol network. A PDF emailed to a client no longer counts as an electronic invoice.

It is not a legal requirement, and a SEPA IBAN works in principle. In practice, payments to the FPS Finance and to your social insurance fund use a structured reference, and direct debits go through more smoothly from a Belgian IBAN. Many self-employed people keep a Belgian account for those flows.

They cannot forbid it, but they can bill for it. A firm used to CODA will spend longer on a Revolut or Wise CSV, and that time shows up on your fee note. Ask about the surcharge before opening the account, not at year-end.

Sophie L. worked eight years in a Belgian bank branch, first as a credit adviser and then in customer relations, before going independent in 2021 and settling in Louvain-la-Neuve. Her work starts with the issuers' official fee schedules, from the high-street banks (ING, BNP Paribas Fortis, KBC, Belfius) to the neobanks (Revolut, N26, Wise), reduced to five comparable lines: annual fee, currency conversion charge, borrowing rate, spending limits and bundled insurance. Every price on this site carries the date it was checked: the annual-fee grid was gone through line by line on 12 August 2026, after Belfius moved its Beats Star package to 5.90 € a month in February. If an issuer does not publish a figure, she writes that down instead of estimating it. For readers who moved to Belgium, she spells out what a Belgian issuer expects from an applicant with no local credit history.
